AI Costs: Licenses, API Usage and Working Time

The actual cost of an AI solution includes tool fees, data preparation, integration, quality control and ongoing maintenance.

Comparing list prices is insufficient when one tool requires substantially more manual checking than another.

Different pricing models

Subscriptions often charge by user and plan. An API may bill by input and output units, model choice and additional features. Locally deployed systems also incur compute, infrastructure and administration costs.

When calculating AI costs, use the current price list from the relevant provider and compare the same billing units. Input and output prices are not necessarily identical.

Cost per accepted task

If a system generates many outputs but some need reruns or lengthy corrections, the cost of a valid result is higher than the cost of one call. Count approved results, not just requests.

An AI implementation cost-benefit analysis should include operator time, exception types and the cost of correcting errors. This makes it possible to compare the workflow before and after a change on a consistent basis.

Working time as a measurable factor

Time savings can be estimated using the average duration of the same task before and after a change, task volume and an hourly rate. This estimates the potential value of time, not automatically realized financial profit.

When optimizing AI costs, distinguish time working with the model from time spent checking and correcting its outputs. Longer tasks require a representative sample because one case may distort the result.

Maintenance after deployment

As document volumes grow, indexing and retrieval costs can change, while API updates may require code changes. At high usage levels, throughput limits and latency become important.

Budget for regression tests, result reviews and handling exceptions. These are real activities even when they do not appear on the model provider’s invoice.

TIME VALUE / CALCULATOR

Time savings value calculator

Enter your own measurements for the same kind of task. The result compares time before and after the change and converts the difference using your chosen hourly value.

The result will appear after you enter your data.
Formula: number of tasks × (minutes before − minutes after) ÷ 60 × hourly value. The result can be negative. Tool fees and other costs are excluded.
